Summary of May 2-3, 2000 Public Advisory Committee Meeting

Summary

 

The meeting was called to order on May 2, 2000 at 10:00 A.M. in the Davis Room of the Stone Mountain Inn.

 

SAMI 2000 Interim Report

Ira Silverberg introduced the 2000 Interim Report to the PAC and commented upon the process used to prepare it.  Several members noted that preparation of the 2000 Report went smoother than the 1999 Report, but that several things could be done differently for next years Interim or Final Report.  Most importantly, the PAC thought that they needed more time to prepare the Report.  They recommended starting to plan for the report earlier, e.g., have each SAMI committee inform PAC at the next semi-annual meeting what data or information should go into the next Report.  The PAC also suggested that Staff prepare a timeline of current contracts and work to be completed so that SAMI can begin deciding what data goes into the next report and whether it is an Interim Report or a Final Report.  Jake Gilmer agreed to find or create such a timeline and distribute it to PAC and post it on the website.

 

SAMI Website

Danielle Droitsch started the discussion of the SAMI website and noted that it needed to be updated and expanded.  She recommend that if staff did not have the time to dedicate to website that the PAC consider appropriating funds to hire someone to maintain the site.  The committee viewed the website via a projector and had many comments and recommendations.  Ultimately, the committee decided that there were several additions or changes that it would like to see on the website:

 

 

Jake Gilmer agreed to update the PAC on each of the above issues and where possible implement their recommendations.

 

Demand Management Contract

Jake Gilmer gave an overview of the work proposal and the contractor and Tom Elmore explained that the contract is for $70,000, which uses the remainder of the PAC’s fiscal year 2000 budget.  The PAC reviewed the proposed work schedule and talked briefly about an upcoming conference call with PAC and ICF.  Several members suggested that interested members of other committees be involved in the process.  Jake Gilmer agreed to send to PAC the Demand Management Proposal and to schedule a conference call with ICF for the week of May 8-12, 2000.

 

SAMI Final Report

Discussions of the 2000 Interim Report spurred further discussion of an eventual Final Report and the role that PAC would play in it.  Much of the discussion focused on the audience of the Final Report and the work schedule leading up to it.  Below are some of the issues that the PAC would like to resolve or further discuss:

 

 

Danielle Droitsch agreed to pose these issues to the Operations Committee and the Governing Body, and encourage them to start thinking about them.

 

Internal Communication

PAC would like for the SAMI website to be improved in order to facilitate internal communication and new member orientation.  The PAC also discussed ways that each SAMI committee could stay informed regarding the activities of all the other committees work.  The most promising options were to post frequent committee updates on the website or publish a monthly or quarterly newsletter.  Jake Gilmer agreed to bring an internal communication proposal at PAC’s next meeting.
